How the HiBob and Agrello Integration Simplifies New Employee Onboarding

Welcoming a new employee is an important moment for any team. A clear and well-organised process gives the employee confidence in their decision and allows the HR team to focus on helping them settle in.

Employment contracts and other documents are an important part of onboarding. Preparing them properly matters, but it is often one of the less enjoyable parts of HR work. Searching for information, preparing contracts, and archiving documents can take more time than expected. Repeating the same data entry and checks for every new employee makes the process unnecessarily time-consuming.

Many of our clients already use HiBob as their HR software. We wanted to make it easier to use the employee data already stored there in Agrello. If the information is already available, there is no reason to enter it manually again.

The HiBob and Agrello integration helps HR teams use existing employee data when creating employment contracts and onboarding documents. This leaves less time for repetitive data entry and more time to help each new employee get started smoothly.

What value does the integration bring to HR teams?

Employee names, roles, start dates, salaries, and other details may already be available in HiBob. Once the template fields are mapped, this information can be used to create documents without typing it again.

Using agreed templates makes it easier to keep employment contracts and onboarding documents consistent. It also helps reduce the risk of missing a field or using an outdated version.

A smoother onboarding experience

A well-organised document process makes starting a new job easier for both the HR team and the employee.

How does the integration work?

The integration uses existing employee data from HiBob to generate documents in Agrello. You can select an employee, use their data in a suitable contract template, create the document, and review it before sending it for signing.

If a field is empty in HiBob, it will also be empty in the Agrello document.

What needs to be set up?

1. Open a suitable contract template.
2. Select the HiBob integration icon.
3. Click “Create from HiBob”.
4. Review the generated document.
5. Send it for signing.

This moves information from the employee-data system into the contract template without retyping everything manually.

Mapping template fields

The Agrello template must be configured before the integration is used. Template fields can be mapped to corresponding HiBob data, such as employee name, job title, start date, and salary.

Users with template editing rights can create the mappings. Once saved, the mappings can be reused when generating future documents.

Setup and permissions

To connect HiBob, create a HiBob service user and generate the required API credentials. The service user can be given the permissions needed to access employee data.

Then open workspace settings in Agrello, select HiBob under Integrations, enter the service user ID and token, and save the connection.

Use the principle of least privilege when assigning permissions. The connector should access only the data needed to create the documents.

The value of the integration depends on having complete employee data in HiBob and well-prepared templates in Agrello. Before using the integration, check that the necessary employee information is available, the template fields are mapped correctly, and every document is reviewed before signing.
